MAPTRAININGFIT LTD ("MAP Training", "we", "us", "our"), a company registered in Cyprus, operates maptrainingfit.com and provides personal training services online and in person. This policy explains what personal data we collect, why, and your rights regarding it.

2. What data we collect
- Contact details: name, email address, phone/WhatsApp number
- Health and fitness information: details you provide in our intake questionnaire and Physical Activity Readiness (PAR-Q) form, including injuries, medical conditions, fitness goals, and physical activity history
- Payment information: processed directly by our payment provider, Revolut — we do not store your full card details
- Communication records: messages exchanged via WhatsApp, email, or booking forms
- For clients under 18: information provided by, or with the consent of, a parent or legal guardian
3. Why we collect it
- To provide coaching services safely and effectively
- To assess health and safety considerations before training — this is special category health data under GDPR, and we only collect it with your explicit consent
- To process payments
- To communicate with you about bookings, scheduling, and services
- With your consent, to send occasional updates about our services — you can withdraw this at any time
4. Clients under 18
We occasionally coach clients under the age of 18. Where this applies, we require the consent of a parent or legal guardian before collecting any personal data or providing services, and all communication regarding a minor's training is conducted with or through their parent or guardian.
5. Who we share data with
We use trusted third-party services to run our business, including Jotform (intake forms and waivers), Revolut (payment processing), Google (Business Profile and scheduling), and WhatsApp/Meta (client communication). These providers process data on our behalf and may store data outside Cyprus or the EU, in which case we rely on their own compliance safeguards. We do not sell your personal data.
6. How long we keep data
We retain client data for as long as necessary to provide services and meet legal or accounting obligations (typically up to 7 years for financial records under Cyprus law), after which it is deleted or anonymized. Health and fitness intake data is retained only for the duration of the coaching relationship plus a reasonable period after, unless you request earlier deletion.
7. Your rights
Under GDPR, you have the right to access the personal data we hold about you, request correction or deletion, object to or restrict processing, request a copy of your data, and withdraw consent at any time. To exercise these rights, contact us via WhatsApp or through the website.
8. Cookies and website tracking
Our website does not currently use analytics or advertising cookies. We use Google Fonts to display certain typefaces, which may involve your browser connecting to Google's servers. If we add analytics or tracking tools in future, this policy will be updated and, where required, we will request your consent via a cookie banner.
9. Security
We take reasonable technical and organizational measures to protect your personal data, but no method of transmission or storage is completely secure.
